FACILITY MANAGER
 
Position Summary
Provides management oversight of facilities maintenance, repairs, and in-house catering functions, ensuring quality service and high performance levels. Responsible for work space planning and utilization, corporate insurance and bonds. Manages day-to-day team activities and continually monitors performance against goals. Works under limited supervision. Relies on knowledge of the field’s concepts, practices, and procedures and on extensive experience and judgment to plan and accomplish goals. Leads projects and directs the work of others. A wide degree of independence, creativity and latitude is expected.
 
Responsibilities
  1. Recruit, manage and retain the necessary resources to successfully perform the duties for the Facilities Group. Provide day-to-day management of team, including proper staffing and scheduling, developing and administering policies, business processes and quality standards, and developing and managing a budget. Ensure that deliverables are on time, within budget, and meet quality standards.
  2. Responsible for administering work space planning and utilization plans, to include ordering office furniture and equipment, coordinating furniture reconfigurations, and relocating employees and equipment. Oversee work of vendors to ensure required standards are met.
  3. Manage corporate insurance and bond needs. Partner with outside insurance brokers to ensure optimum coverage and competitive rates. Complete insurance and bond applications. Manage corporate insurance claims, ensuring timely and accurate presentation of facts. Respond to insurance and bond Request for Proposal (RFP) questions. Ensure Certificates of Insurance are issued to clients as needed and on an annual renewal basis, and that current vendor Certificates of Insurance are on file.
  4. Management oversight of facilities maintenance, repairs, and in-house catering functions. Periodic review of team processes to ensure effective and efficient methods are employed. Lead and implement process improvement efforts as needed.
  5. Oversee the development and implementation of physical security, safety, and disaster recovery programs, procedures and operations as they affect the Facilities Group.
  6. Review business unit policies and procedures on an annual basis. Develop new policies and update existing policies as needed.
  7. Compose a variety of materials (e.g., letters, memos, reports, procedures, etc.) for the purpose of conveying information, documenting activities, and/or providing written reference information.
  8. Build and maintain positive working relationships with co-workers, internal and external customers using principles of good customer service.
  9. Demonstrate ability to appear for work on time, follow directions from a supervisor, interact well with co-workers, understand and follow work rules and procedures, comply with corporate policies, goals and objectives, accept constructive criticism, establish goals and objectives, and exhibit initiative and commitment.
Requirements
5-7 years of recent, related experience including facilities management, project management, procurement, negotiation, and corporate insurance program management
Four year degree or an equivalent combination of education and experience
 
• Proficient in Microsoft Office: Word, Excel, PowerPoint and Outlook
• Well-developed interpersonal skills
• Strong verbal and written communication skills
• Ability to multi-task and to work in a fast-paced environment with changing priorities
• Strong analytical and mathematical skills
